This Privacy Policy explains how Roost (“we,” “us”) collects, uses, and shares information when you use our platform (the “Service”). By using the Service you agree to this Policy.
1. Information We Collect
We collect: (a) account information you provide (name, email, brokerage, and login credentials); (b) content you upload, such as your contacts, photos, and marketing materials; (c) usage information about how you interact with the Service; and (d) technical data such as device and log information.
2. How We Use Information
We use information to provide, operate, secure, and improve the Service; to generate the content you request; to communicate with you; to process payments; and to comply with legal obligations.
3. AI Processing
To generate text, images, and other content, we send the relevant inputs you provide (for example, a prompt or an uploaded photo) to AI providers that process it to return a result. Where possible we run AI models on infrastructure we operate ourselves; when a feature uses a third-party provider, only the inputs needed for that request are sent. We use providers that do not require sharing your data beyond what is needed to deliver the feature you requested.
4. Service Providers We Use
The third-party providers that may process information on our behalf are: Anthropic (AI text generation), Google (AI image generation), ElevenLabs (AI voice generation), Twilio (SMS and telephony), Resend (transactional email), Cloudflare (content delivery and network security), and our payment processor for billing. Your contact database is stored on infrastructure we operate, not with a third-party database vendor. We will update this list if our providers change.
5. How We Share Information
We do not sell your personal information. We share information only with service providers who help us run the Service (such as hosting, database, email, and AI providers), and when required by law or to protect our rights. Service providers are bound to use the information only to provide services to us.
6. Data Retention
We retain your information for as long as your account is active or as needed to provide the Service, and as required to comply with our legal obligations. You may request deletion of your data as described below.
7. Security
We use reasonable technical and organizational measures to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your Rights & Choices
Depending on your location, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can export or delete your contacts within the Service, or contact us to exercise these rights. We will respond to verified requests within the timeframe required by applicable law, and we will not discriminate against you for exercising any of these rights.
California residents (CCPA/CPRA): you have the right to know what personal information we collect and how we use it (described in this Policy), to access it, to correct it, to delete it, and to opt out of the sale or sharing of personal information. We do not sell or share your personal information as those terms are defined by the CCPA, and we do not use or disclose sensitive personal information for purposes requiring a right to limit. To exercise these rights, contact us at the address in Section 14.
EU/UK residents (GDPR): we process your information to perform our contract with you, to pursue our legitimate interests in operating and securing the Service, and to comply with legal obligations. You additionally have the rights to data portability, to withdraw consent where processing is based on consent, and to lodge a complaint with your local supervisory authority.
9. Your Contacts
When you upload contacts, you are responsible for having a lawful basis and any required consent to store and communicate with them. We process that data on your behalf to provide the Service.
10. SMS / Text Messaging
If you or your clients provide a mobile number and consent to receive text messages (for example, through a contact or booking form, or by requesting updates from your agent), we may send SMS messages such as appointment reminders, transaction status updates, follow-ups to inquiries, and relationship check-ins. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out and HELP for help. Consent to receive text messages is not a condition of purchasing any property, good, or service.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
11. Cookies
We use cookies and similar technologies that are necessary to sign you in and keep the Service working (for example, your session and preferences). We do not use them to sell your data.
12. Children
The Service is for business use by adults and is not directed to anyone under 18.

We may update this Policy from time to time. Material changes will be posted here with an updated date.
